Our Expert Tips For Booking Your UK Wedding Venue
Booking your wedding venue is about so much more than choosing somewhere that looks beautiful.
After years of planning elevated weddings across the UK, we’ve seen how the right venue shapes the entire experience; from guest flow and timings, to logistics, atmosphere and how the day truly feels.
Looking back at our most recent wedding at the award-winning venue Oxnead Hall (pictured throughout this blog), every detail worked seamlessly because the right questions had been asked from the very beginning.
So we’re giving you the inside scoop (no gatekeeping here!) on what we do when we’re looking for the right venue for our clients – got your notepad ready?
Now, before you even get to the stage of booking your wedding venue, you need to think about what actually matters to you as a couple.
If your priority is having a banging party, then a venue with strict sound limiters may not be the best fit. Or if food is a huge part of your celebration and you have a specific cuisine in mind, you’ll want to check whether outside catering is allowed.
Every venue comes with its own rules, flow and limitations, so it’s important to think beyond just how it looks. So if you’ve narrowed it down to a few top contenders and need help deciding which one is truly right for your wedding, consider this:
- DO YOU HAVE EXCLUSIVITY, or will there be other events taking place at the same time? If so, how are they managed to ensure privacy and that your wedding still feels fully attended to? And importantly – is this a deal breaker for you?
- YOU MAY BE DREAMING ABOUT THAT OUTDOOR CEREMONY… but we also have to think about the good old British weather. If it rains, is there a genuine backup option? And can it comfortably fit all of your guests without feeling like an afterthought?
- ARE CEREMONY CHAIRS INCLUDED? or will you need to hire them separately? We have seen couples get caught out by this. The venue was known for its beautiful outdoor ceremony spaces, but you could only use them if you paid extra to hire the chairs. Crazy, I know!
- SO YOU’VE GOT YOUR HEART SET ON A CEILING DRAPING… but are there any restrictions around décor installations or setup?
- RESTRICTIONS EXTEND TO THE VENUE AS A WHOLE. We once worked at a venue that didn’t allow dancing because it was a heritage site. So if having a big party is important to you, that probably isn’t the venue for you.
- IS ACCOMMODATION INCLUDED? If so, how many rooms are there, and is there a minimum number you’re required to book? Surprise accommodation costs are never fun.
- MINIMUM SPEND ON DRINKS / FOOD? Beverage minimum spends are quite common in UK wedding venues, whereas food minimums are less typical – but still worth asking about.
- ARE THE VENUE PACKAGES SET, OR CAN THEY BE TAILORED TO YOU? Some venues are very bespoke, while others are far more structured.
- WHAT’S ACTUALLY INCLUDED IN THE VENUE HIRE? Things like linen, cutlery, cake stands, tables, chairs and drink packages – these can all make a huge difference to your budget once added up.
- AND OUR BIGGEST TIP… There’s often more flexibility in pricing than couples realise. A Wednesday wedding in April will usually have far more room for negotiation than a Saturday in July. And the larger your guest count, the stronger your negotiating position can be too. If you’re bringing 150 guests to a midweek wedding, ask yourself – how many other couples are realistically lining up to book that exact date? Chances are, the venue won’t want to risk losing the booking!
So, you’ve booked the venue after working through all of these questions… now comes the part where everything actually needs to come together.
And honestly? This is the best time to begin working with a wedding planner.
